Account receivables
Overview
Account Receivables (AR) in NetWise gives merchants a complete view of all outstanding Net term payments across their store. When customers place orders using net payment terms, those orders are tracked in the AR dashboard showing what has been paid, what is outstanding, what is overdue, and when each payment is due.
The feature eliminates the need for manual spreadsheet tracking of B2B credit and provides a single, date-filtered view of the entire receivables pipeline.
What Account Receivables Covers |
• Real-time summary of total receivables, overdue amounts, and collected payments |
• Per-order payment tracking with net term and due date visibility |
• Payment status management mark orders as paid, partially paid, or overdue |
• Payment recording with transaction date, reference number, and document upload |
• Date range filtering to view AR for any custom time period |
1. Dashboard Summary Metrics
At the top of the Account Receivables page, four summary cards give merchants an at-a-glance financial overview for the selected date range. These figures update dynamically as payments are recorded and new orders are placed.
● Total Receivables All AR value | ● Not Yet Due Upcoming | ● Overdue Past due date | ● Total Received Collected |
Metric | Definition |
|---|---|
Total Receivables | Sum of all outstanding balances across all unpaid and partially paid orders in the selected period. Represents the full amount owed to the merchant. |
Not Yet Due | Outstanding balances where the due date has not yet passed. Payment is expected but not yet late. |
Overdue | Outstanding balances where the due date has passed and payment has not been fully received. Requires follow-up. |
Total Received | Cumulative amount actually collected from customers in the selected period, across all cleared and partially paid orders. |
The date range selector in the top-right corner of the page allows merchants to filter all metrics and the order list to a specific time window for example, Feb 7 – Mar 8, 2026. All four summary cards update to reflect only the orders and payments within that range.
2. Net Terms setup & configuration
Before Account Receivables can function, net payment terms must be configured and assigned to customers. This is done through the each customer level in the NetWise customer section.
Also, if the merchant creates any manual draft orders using net terms, NetWise will track those as well. This is not limited only to orders placed through NetWise.
2.1 Configuring Net Terms
Merchants set payment terms at the individual customer level, Available standard terms include:
Net Term | Payment Window |
|---|---|
Net 7 | Payment due within 7 days of order |
Net 15 | Payment due within 15 days of order |
Net 30 | Payment due within 30 days of order |
Net 60 | Payment due within 60 days of order |
Net 90 | Payment due within 90 days of order |
2.2 Assigning terms to customers
Manual Draft Orders: Merchants can assign net terms when creating a manual draft order.
Customer level: Merchants can assign or modify net terms for a specific customer from the customer’s profile page using the Assign / Edit option in the Net Payment Terms section.
When a customer places an order, the system automatically applies their current net terms to calculate the payment due date.
3. Order Creation & AR Tracking
When a customer with net terms places an order, NetWise automatically creates an accounts receivable record for that order. No manual entry is required in the system captures the full financial snapshot at the moment of order creation.
3.1 AR Record creation flow
1 | Customer places order on storefront B2B customer uses net terms to purchase no upfront payment required at checkout. |
2 | Order created in Shopify Shopify records the order with the full order value. Net terms are applied based on the customer's level. |
3 | AR record initialised in Netwise Netwise creates an AR entry: Total Price = order value, Total Outstanding = full amount, Total Received = $0.00, Payment Status = Unpaid. |
4 | Due date calculated automatically Due date = order date + net term days. For example, an order placed on Feb 26 with Net 7 is due by Mar 5. |
5 | Record appears in AR dashboard The order appears in the receivables list, visible under the All or Unpaid tab, with net status showing the countdown or overdue state. |
4.2 Payment Status (Collection State)
The Payment Status column reflects the merchant’s recorded collection activity.
Using “Mark as Paid”, the merchant or finance team can manually update the payment status when a customer completes payment offline, such as via bank transfer or cheque. Once updated, the payment status will automatically sync with the Shopify system.
The “Mark as Paid” modal includes full field references such as partial payments, multi-transaction support, and document uploads, giving the finance team better control over accounts receivable (AR).
